Write a clear offer letter for my chosen candidate
A warm, accurate offer letter and cover email, plus a checklist for everything between the candidate's yes and day one.
The prompt
Write an offer letter for the candidate I've chosen, and a checklist for what happens between acceptance and day one. This is step 5 of the 'Run a structured hiring process' pack; paste the decision notes from step 4 if useful.
Candidate and role: [NAME, TITLE, LEVEL, MANAGER]
Compensation: [base, bonus, equity, sign-on - whatever applies]
Benefits summary: [DETAILS or link]
Start date, location, work arrangement: [DETAILS]
Conditions: [background check, references, right-to-work, etc.]
Response deadline: [DATE]
Jurisdiction: [COUNTRY/STATE]
Step 4 output (optional): [PASTE]
Requirements:
- Open warmly and say why we chose them, using 1-2 specifics from the process.
- Put the terms in a short table, then explain them in plain-language paragraphs.
- Leave legal clauses (at-will, probation, notice, confidentiality, non-compete) as [CONFIRM WITH HR/LEGAL] placeholders. Don't draft binding legal terms from scratch, and note that rules on non-competes and pay transparency vary by location.
- Don't invent numbers; use [ADD] markers for anything missing.
Return:
1. The offer letter.
2. A short cover email to send with it.
3. A checklist for the gap between 'yes' and day one: tell the panel, send kind rejections to other finalists, start paperwork and equipment orders, assign an onboarding buddy, and schedule a pre-start call.
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
