Replace a meeting with an async update in email, Teams, or Slack
Turns what would have been a meeting into a clear written update that gets the needed input and decisions without a call.
The prompt
Turn this meeting into an async update so we can skip the call.
What the meeting was going to cover: [AGENDA OR TOPICS]
Updates and information to share: [PASTE NOTES, STATUS, DATA]
Input or decisions I need from people: [WHAT I NEED AND FROM WHOM]
Where it will be posted: [email / Teams or Slack channel / shared doc]
Response deadline: [DATE AND TIME]
Write the update so that:
- The first 2 lines say why there is no meeting and what I need from readers, by when.
- Information-only items are short bullets that need no reply.
- Each item that needs input is numbered, names who should respond, and asks a specific question (a choice between options, a yes/no, or a number), not "thoughts?".
- Context needed to answer is included or linked, so nobody has to ask.
- It ends with what happens if no one objects by the deadline (e.g. "we proceed with option A").
Return:
1. The async update, formatted for the channel I chose (subject line if email; short sections if Teams or Slack).
2. A short reminder message for the day before the deadline.
3. A note on what would justify calling a short meeting after all (e.g. strong disagreement on item 2).
Use only the facts I provided; mark anything missing as [ADD].
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the Few-Shot structure (Few-shot prompting). A few-shot prompt includes one or more worked examples of the input and the output you want, so the model can copy the pattern instead of guessing it.
