Prepare everything before a new hire's first day
A countdown checklist with owners, a welcome email, and a team announcement so day one runs smoothly.
The prompt
Help me prepare for a new hire's arrival so their first day isn't spent waiting for a laptop. This is step 1 of the 'Onboard a new hire' pack.
New hire's role and level: [DETAILS]
Start date and work setup: [on-site / hybrid / remote]
Days until they start: [NUMBER]
Tools and access they'll need: [LIST, or 'help me list them']
Who's involved: [IT, HR, buddy, team - whoever exists]
Anything already done: [LIST]
Return:
1. A countdown checklist (2 weeks out, 1 week out, day before) with an owner for each item: equipment, accounts and permissions, paperwork, desk or home setup, week-one calendar invites, buddy assigned, team informed.
2. A welcome email from me to send about a week before: start time and place (or video link), who they'll meet first, what to bring, dress code or norms, what day one looks like, and how to reach me. Warm, under 200 words.
3. A short message introducing the new person to the team, with a nudge to say hello.
4. 'Quiet failures' to double-check: missing access, no first task ready, no one to have lunch with, manager double-booked on day one.
Don't ask me follow-up questions; use [ADD] placeholders where you need details.
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
