Coordinate the first hour of an operational disruption
A step-by-step response plan and update templates for when a site, system, or supplier failure is happening right now.
The prompt
Something has gone wrong in my operation right now. Help me run the response.
What's happening: [DESCRIBE - e.g. "WMS is down, trucks are arriving", "power loss on line 2", "supplier didn't deliver"]
When it started and what we know: [FACTS SO FAR]
Who and what is affected: [customers, orders, staff, sites]
People I have available: [ROLES]
Any safety risk: [YES/NO/UNSURE - describe]
Give me, briefly and in priority order:
1. Immediate checks: safety first (if there is any risk to people, stop and follow emergency procedures, call emergency services if needed), then contain the impact.
2. Roles: who leads, who fixes, who communicates, who logs the timeline. One person per role.
3. Workarounds: options to keep the most critical work flowing (manual process, reroute, prioritize key customers), with the risks of each.
4. Decision points: what I need to decide in the next 15, 30, and 60 minutes, and the information I need for each.
5. Update templates: a 3-line internal update for leadership and a holding message for affected customers or teams. Use [ADD] for facts we don't have yet.
6. What to log now so the post-incident review has an accurate timeline.
Don't speculate about the cause; list possible causes only as hypotheses to check.
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
