Audit my project plan for missing owners, deadlines, and unaddressed risks
Checks your plan or tracker for tasks with no owner, no deadline, vague deliverables, and risks nobody is managing.
The prompt
Audit my project plan for gaps before they turn into problems.
Plan, tracker, or task list: [PASTE - include owner and date columns even if blank]
Risk log: [PASTE, or "none"]
Recent status notes or meeting notes: [PASTE, to catch commitments that never reached the plan]
Check for:
1. Ownership gaps: tasks with no owner, shared owners ("team", "IT", two names), or owners who have left or aren't on the team list.
2. Deadline gaps: tasks with no due date, "TBD", or dates already passed without an update.
3. Vague tasks: no clear deliverable, so nobody can say when they're done.
4. Unmanaged risks: risks with no owner, no mitigation, no review date, or concerns raised in notes that never reached the risk log.
5. Orphaned actions: commitments in notes or emails that aren't in the tracker.
6. Workload signals: one owner holding far more open tasks than others.
Return:
1. A gap table: Item | Gap type | Why it matters | Suggested fix (proposed owner role, date, or rewording).
2. Risks not being addressed: Risk | Evidence | Likely impact | Suggested owner role | First mitigation step.
3. A summary count of each gap type, so I can track it week to week.
4. A short message I can send to the team in Teams or Slack asking owners to fill the gaps by a set date.
Suggest owner roles, not names, unless the name is already in my data. I decide who owns what.
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
