Spot slipping work in a task tracker export
Analyzes your Jira, Asana, or spreadsheet export to find overdue, stalled, and at-risk work before it hits a milestone.
The prompt
Help me find slipping work in an export from my project tracker.
Tracker export: [PASTE rows or attach - ideally with task, owner, status, due date, start date, last updated, estimate, milestone or epic]
Today's date: [DATE]
Upcoming milestones: [MILESTONE names and dates]
What "normal" looks like for us: [e.g. "tasks usually take 3-5 days", "statuses updated daily"]
Analyze the data for:
- Overdue tasks, grouped by how late.
- Stalled tasks: in progress but not updated for a long time, or in the same status far longer than normal.
- At-risk tasks: not started but due soon, given their estimate.
- Milestone risk: for each milestone, open work vs. working days left.
- Owner overload: people with many open or overdue items at once.
- Data quality: missing owners, missing due dates, or tasks marked done with no completion date.
- Patterns: the same type of task, team, or dependency repeatedly slipping.
Rules: base everything on the data provided. Do not guess at causes - suggest a question to ask instead. If key columns are missing, tell me which analysis that prevents.
Return:
1. A 5-line summary of overall health.
2. A table of the top 10 items needing attention: task | owner | issue | days late or stalled | milestone affected | question to ask.
3. Milestone risk table.
4. Owner workload view.
5. Data hygiene fixes for the team.
6. A short message I can post in the team channel asking for updates on the flagged items.

How this prompt is built
This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
