Sort my tasks into automate, delegate, eliminate, or do myself
Applies a clear four-way test to every task, including what AI could handle and what needs your personal judgment.
The prompt
Sort my tasks into automate, delegate, eliminate, or do myself.
My tasks (one per line, with frequency and time if known): [PASTE]
My role: [ROLE]
People I could delegate to, and their skills: [e.g. "analyst - strong in Excel; coordinator - good with scheduling" - or "none"]
Tools I have: [e.g. Microsoft 365 Copilot, ChatGPT, Power Automate, Zapier, none]
Sensitive data or approvals involved: [e.g. "salary data", "client contracts", "none"]
Decision tests:
- Eliminate: no one would notice or care if it stopped.
- Automate or AI-assist: repetitive, rule-based, or a first draft from clear inputs, where errors are easy to catch.
- Delegate: someone else can do it well with instructions, or it would help them grow.
- Do myself: needs my judgment, accountability, authority, or relationships, or involves sensitive decisions about people, money, or legal risk.
Return:
1. Table: | Task | Verdict | Why | How (tool, prompt idea, or person) | Human check needed | Time saved/week |
2. The tasks that need my personal judgment, and why AI or delegation would be risky for each.
3. For AI-assisted tasks: what the AI does, what I review, and what data must never go into the tool.
4. The three moves that save the most time, in order.
Be realistic: if AI would only save a few minutes or adds review burden, say so. Follow my company's AI and data policies; if I haven't mentioned them, remind me to check.

How this prompt is built
This prompt follows the Few-Shot structure (Few-shot prompting). A few-shot prompt includes one or more worked examples of the input and the output you want, so the model can copy the pattern instead of guessing it.
