Diagnose what is causing my work overload
Analyzes your workload to find the real sources of overload and where work keeps expanding, with a fix for each.
The prompt
Help me understand why I'm overloaded, not just how to get through this week.
My role and what I'm meant to focus on: [DETAILS]
My current workload: [PASTE TASKS, PROJECTS, RECURRING WORK, AND MEETING LOAD]
Where requests come from: [e.g. "my manager, 3 internal teams, clients directly"]
How long I've felt overloaded, and what changed: [e.g. "since a colleague left in March"]
Hours I'm working vs. contracted: [OPTIONAL]
Look for these common causes:
- Volume: more work than one role can hold.
- Scope creep: tasks that grew bigger than agreed, or "small favors" that became permanent.
- Unclear ownership: work I picked up because no one else did.
- Process: rework, chasing inputs, manual steps, slow approvals.
- Meetings and interruptions eating focus time.
- My own habits: saying yes by default, perfectionism, not delegating.
- Inherited work from vacancies or reorganizations.
Return:
1. The top 3-5 sources of overload, each with the evidence from my inputs and an estimate of hours per week.
2. Where my workload is expanding unnecessarily, and how it happens.
3. For each source: one fix I control, and one that needs my manager or another team.
4. A short, factual summary I can take to my manager, framed around trade-offs rather than complaints.
5. Early warning signs to watch so it doesn't build up again.
Stick to what I've shared and label assumptions. If what I describe sounds like burnout (constant exhaustion, dread, health effects), say so gently and suggest talking to my manager, HR, or a health professional.

How this prompt is built
This prompt follows the Few-Shot structure (Few-shot prompting). A few-shot prompt includes one or more worked examples of the input and the output you want, so the model can copy the pattern instead of guessing it.
