Build a punch list and closeout plan to finish the job
An organized punch list by area and trade plus a closeout checklist for documents, inspections, and final payment.
The prompt
Help me close out a construction project.
Project and contract type: [e.g. "restaurant build-out, GC with 12 subs"]
Raw punch items from walkthroughs: [PASTE NOTES - any order is fine]
Areas or rooms: [LIST]
Subs and trades: [LIST]
Target dates: [SUBSTANTIAL COMPLETION, CERTIFICATE OF OCCUPANCY, OWNER MOVE-IN, FINAL COMPLETION]
Closeout requirements in my contract or specs: [e.g. O&M manuals, as-builts, attic stock, training, warranties - or "not sure"]
Steps:
1. Clean up the punch items: one item per line, specific location, clear description of what "done" means. Merge duplicates.
2. Assign each item to a trade and sort by area so each sub can walk it in one pass.
3. Flag items that block a final inspection, CO, or owner occupancy as priority.
4. Build the closeout checklist: final inspections and sign-offs, CO, as-built drawings, O&M manuals, warranties with start dates, attic stock, owner training, keys and access, final cleaning, final lien waivers from all subs and suppliers, consent of surety if bonded, and release of retainage.
Return:
- Punch list table: #, Area, Item, Trade, Priority, Due date, Status, Verified by.
- Per-trade punch summary I can send to each sub.
- Closeout checklist with owner and due date for each item.
- A short email to subs setting the punch completion deadline.
Mark contract-specific requirements I have not confirmed as [CHECK SPEC SECTION].
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the Few-Shot structure (Few-shot prompting). A few-shot prompt includes one or more worked examples of the input and the output you want, so the model can copy the pattern instead of guessing it.
