Write a proposal to win a new property management client
An owner-focused management proposal with a rental analysis, fee structure, services, and onboarding plan.
The prompt
Write a property management proposal for a prospective owner client.
Owner and goals: [ACCIDENTAL LANDLORD / INVESTOR / HOA; GOALS e.g. hands-off income, protect the asset]
Property: [TYPE, UNITS, CONDITION, CURRENT STATUS - vacant, tenant in place, self-managed]
Rental analysis: [MY ESTIMATED MARKET RENT RANGE AND THE COMPS BEHIND IT]
Their pain points: [e.g. late payments, bad previous manager, distance, maintenance calls]
My services: [LEASING, SCREENING, RENT COLLECTION, MAINTENANCE, INSPECTIONS, ACCOUNTING, EVICTIONS]
Fees: [MANAGEMENT %, LEASING FEE, RENEWAL FEE, MAINTENANCE MARKUP, SETUP FEE, ANY OTHER]
Proof: [DOORS MANAGED, AVG DAYS TO LEASE, OCCUPANCY, RESIDENT RETENTION - real numbers only]
Write a proposal with:
1. Their goals and concerns in their words.
2. Rental pricing recommendation with the comps, and an estimated monthly owner cash flow after my fees, using only my numbers.
3. Services, with what's included vs. extra, in a table. Show every fee clearly; owners distrust hidden markups.
4. How I handle the big risks: screening standards and fair housing compliance, maintenance approval limits, emergency response, delinquency and eviction process, trust accounting.
5. A 30-day onboarding plan (documents, keys, tenant transition, inspection, accounting setup).
6. Termination terms and next steps.
Mark any missing proof as [ADD]. Keep it to about two pages.
Highlighted [brackets] are blanks to replace with your own details.
