The prompt

Turn my rough meeting notes into structured minutes I can file and share with the team. Meeting name and date: [e.g. "Weekly ops review, May 14"] Attendees and absentees: [NAMES AND ROLES - or "take from notes"] Agenda (if there was one): [PASTE AGENDA or "none"] My notes or transcript: [PASTE] Where the minutes will be stored or sent: [e.g. "team SharePoint", "Confluence page", "email to attendees"] Rules: - Follow the agenda order. If there was no agenda, group the discussion into clear topics. - For each topic, record what was discussed in 2-4 neutral sentences: facts and positions, not word-for-word dialogue or opinions about people. - Separate decisions (agreed) from proposals (suggested but not agreed). Never upgrade a suggestion into a decision. - Only list an owner or deadline if the notes state one. Otherwise write **[OWNER?] or [DATE?]**. - Leave out side chatter, jokes, and anything personal or confidential that does not belong in a shared record; list what you removed so I can check. Return: 1. Header: meeting name, date, time, attendees, absentees, note-taker. 2. Minutes by agenda item: Discussion / Decisions / Actions. 3. Action table: | # | Action | Owner | Due | Agenda item | 4. Parked items and next meeting date (if stated). 5. A short list of gaps I should confirm before sending (unclear owners, dates, or decisions). Keep it scannable: under one page per 30 minutes of meeting.

Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built

This prompt follows the Few-Shot structure (Few-shot prompting). A few-shot prompt includes one or more worked examples of the input and the output you want, so the model can copy the pattern instead of guessing it.
