Turn my day rate into a fixed-fee project quote
A task-by-task estimate converted into a fixed fee, with contingency, assumptions, and a quote I can send.
The prompt
Help me price a client project as a fixed fee instead of billing by the hour.
The project: [WHAT I'LL DELIVER]
My target day or hourly rate: [RATE]
Tasks I can think of: [ROUGH LIST]
Similar past projects: [how long they actually took vs. what I estimated, if known]
Client factors: [number of stakeholders, decision speed, how clear the brief is]
Value to the client: [what the outcome is worth to them, if I know]
Work through it in this order:
1. A work breakdown: each task with a low, likely, and high estimate in hours. Add the tasks people usually forget (project management, meetings, revisions, email, onboarding, handover).
2. A three-point estimate per task and a total, showing the math.
3. A contingency percentage based on the risk factors I gave, with the reasoning.
4. The fixed fee at my rate, rounded sensibly, and a sanity check against the value to the client (am I underpricing?).
5. The assumptions that must hold for this price (revision rounds, turnaround times for feedback, scope limits), written so I can paste them into the quote.
6. A short quote message to the client that presents the price confidently, without an hourly breakdown.
If my rate or estimates look unrealistic for the work described, say so. Don't invent past data; ask me for it or mark it [CONFIRM].
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
