Turn a document or policy into a checklist
Converts a policy, procedure, standard, or long document into a clear checklist people can tick off, with nothing important left out.
The prompt
Turn the document below into a practical checklist.
Document: [PASTE - policy, procedure, standard, guideline, contract obligations, or instructions]
Who will use the checklist: [ROLE]
When they'll use it: [e.g. "before submitting a purchase request", "during a site audit", "on a new hire's first day"]
Format: [printable page / Excel / Word / Teams or Slack message]
Build it:
1. Pull out every action, requirement, and check in the document. Ignore background and explanation.
2. Write each item as one action someone can tick off ("Attach the signed quote"), starting with a verb.
3. Group items by stage or timing (before / during / after) in the order they happen.
4. Mark mandatory items clearly, and separate them from recommended ones.
5. Add the owner and deadline or timing where the document states them.
Return:
1. The checklist - grouped, numbered, with a checkbox for each item and the section of the document it comes from.
2. Critical items - the ones that cause the most harm if missed (compliance, safety, money), highlighted.
3. Unclear requirements - places where the document is vague, marked [CLARIFY].
4. Coverage check - confirm every requirement in the document is either on the checklist or listed as left out on purpose, with the reason.
Use only what the document says; don't add requirements from general practice unless labeled (suggested).
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
