Turn 360-degree feedback interviews into a clear themed report
Organizes interview responses from managers, peers, and direct reports into themes, strengths, development areas, and anonymized quotes.
The prompt
Turn 360-degree feedback interview notes into a report for the person receiving the feedback.
Person and role: [ROLE ONLY - e.g. "VP of Operations"]
Interview questions: [LIST]
Responses: [PASTE notes or transcripts, labeled by rater group: manager, peers, direct reports, others]
Competency model, if any: [OPTIONAL]
Format: [document / slide outline]
Steps:
1. Under each interview question, group similar comments into 2-5 themes with clear subheadings. Note how many raters mentioned each theme and from which groups.
2. Show where rater groups agree and where they differ (e.g. direct reports see something peers don't).
3. Select representative quotes, edited to remove anything that could identify the rater - names, projects, distinctive phrases. Never attribute a quote to a person; only report a rater group if it has at least 3 people, otherwise merge groups.
4. Separate observed behaviors from opinions, and don't strengthen or soften what raters said.
Return:
1. Summary - top 3 strengths and top 3 development areas, each with evidence.
2. Question-by-question findings - themes, frequency, rater groups, and quotes.
3. Blind spots and surprises - themes the person may not expect.
4. Suggested development focus - 2-3 areas and a question to explore for each in a coaching debrief.
5. If I want slides, a slide-by-slide outline with headlines.
Keep the tone balanced and constructive. Flag any comment that raises a conduct or wellbeing concern separately so it can be handled through the right HR process rather than in the report.

How this prompt is built
This prompt follows the Few-Shot structure (Few-shot prompting). A few-shot prompt includes one or more worked examples of the input and the output you want, so the model can copy the pattern instead of guessing it.
