The prompt

I'm short-staffed today. Help me re-plan the shift quickly. Who's in and their skills: [NAME OR ROLE | skills | hours] Who's missing: [ROLES/SKILLS MISSING] Today's workload: [orders, appointments, jobs, tickets - with deadlines and customer commitments] Non-negotiables: [safety-critical roles, legal minimum staffing, key customers, cutoffs] Options I might have: [overtime, borrow from another team, temps, supervisor stepping in] Give me, fast and in this order: 1. Must-do work today vs. what can be delayed, reduced, or rescheduled, with the impact of each delay. 2. A reassignment plan: who does what, keeping safety-critical and minimum-staffing roles covered by qualified people only. 3. Cover options ranked by cost and speed, and who I need to call. 4. Short messages: one to the team, one to my manager, and one to any customer or internal partner whose work will slip. Use [ADD] for times. 5. What to watch through the day (backlog, breaks, fatigue) and when to make the next call. Don't reassign anyone to tasks they aren't trained or certified for. Afterwards, suggest 2-3 changes (cross-training, standby list) that would make the next short day easier.

Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built

This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
