A clear, accurate AI data-use FAQ and trust page section that answers what procurement and security teams actually ask.
The prompt
Help me write a customer-facing explanation of how my product's AI features use customer data.
AI features: [what each feature does]
Model providers and hosting: [vendors, regions, whether data leaves our cloud]
Training and retention facts: [Is customer data used to train our models or vendor models? How long are prompts and outputs retained? Zero-retention agreements? - only confirmed facts]
Customer controls: [opt-out, admin toggles, per-workspace settings, data deletion]
Contract terms: [what our DPA and terms say about AI and sub-processors]
Common customer questions so far: [PASTE or summarize]
Write:
1. A one-paragraph summary a buyer can paste into a vendor review.
2. An FAQ covering: Is my data used for training? Who can see it? Where is it processed and stored? How long is it kept? Which sub-processors are involved? Can admins turn AI off? How are outputs checked for accuracy? What happens to data when we cancel?
3. A short in-product notice for the first time a user tries an AI feature.
4. A gap list: any question I could not answer from the facts given, marked [CONFIRM WITH ENGINEERING OR LEGAL].
Rules:
- Only state facts I provided. Never imply guarantees ("100% secure", "never wrong").
- Match the wording to our contract and DPA; flag any mismatch.
- Note where rules such as GDPR, the EU AI Act, or sector rules for our customers may require more disclosure.
- Plain language, no marketing spin.
This is general information - have legal review the final text before publishing.

How this prompt is built
This prompt follows the RTF structure (Role, Task, Format). RTF tells the model who to be, what to do and what shape the answer should take. It is the quickest structure that still gives noticeably better results than a bare request.
