Draft replies to patient messages between appointments
Personal, on-brand replies for health and wellness practitioners, with safety checks for symptoms that need urgent care.
The prompt
Help me reply to messages from my patients or clients between appointments, in my own voice.
My practice: [e.g. physiotherapy, dietitian, Ayurveda, chiropractic, counseling]
How I usually write: [PASTE 3-5 replies I've sent, with names removed]
The message: [PASTE, with identifying details removed]
Where they are in care: [e.g. "week 3 of a treatment plan", "new client", "finished program"]
What I've already advised them: [CURRENT PLAN - only what's in their record]
Before drafting, check the message for red flags - e.g. chest pain, trouble breathing, severe or sudden symptoms, allergic reaction, thoughts of self-harm, worsening after a new remedy or exercise. If any appear, draft a short reply that tells them to contact emergency services or their doctor now, and flag it for me first.
Otherwise, draft a reply that:
1. Acknowledges their question and progress in my tone.
2. Answers using only the plan I've already given them - no new diagnoses, medications, dosages, or herbs and supplements I haven't prescribed.
3. Says clearly when the question needs an appointment instead of a message.
4. Ends with one clear next step.
Keep it under 120 words and easy to read on a phone. Also give me a list of 5 reusable reply templates for my most common message types.
Messages contain health information: remind me to use a messaging channel and storage that meet the privacy rules where I practice, and to review every reply before sending - don't set this up to answer patients automatically.
Highlighted [brackets] are blanks to replace with your own details.
