Build employee personas from workforce data to guide hiring
Data-based personas of your current staff that sharpen hiring profiles, recruitment messaging, and retention, without stereotyping.
The prompt
Help me build employee personas from my workforce data to guide recruitment and retention.
Organization and roles: [e.g. "hospital system, registered nurses and LPNs", "distribution centers, warehouse associates"]
Data fields I have: [e.g. education level, license or certification type, tenure, department, shift, full/part-time, location, turnover, engagement scores, exit reasons]
Dataset size: [NUMBER of employees and time period]
Purpose: [e.g. "target hiring profiles", "tailor job ads", "reduce first-year turnover"]
Data format: [paste a summary table, or describe the spreadsheet]
Work through:
1. Data check: missing values, small groups that would make personas unreliable or identifiable, and fields to leave out.
2. Segmentation approach: which fields to group by and why; suggest pivot tables or simple clustering I can run myself in Excel or another tool.
3. 3-5 personas, each with: a descriptive name (based on role and situation, not age or gender), share of workforce, typical background and career stage, what they value (pay, schedule, growth, mission, stability), common reasons they leave, and the channels and messages that reach them.
4. Hiring and messaging: for each persona, what job ads, recruiting channels, interview process, and onboarding should emphasize. Personas shape outreach and the candidate experience; they are never criteria for selecting or rejecting individual candidates.
5. Retention actions per persona.
6. How to validate: focus groups or stay interviews to check the personas against reality.
Rules:
- Base every statement on the data I provide; mark assumptions as [ASSUMPTION].
- Personas describe patterns, not individuals. Do not build personas on age, gender, race, disability, or other protected characteristics, and never use them to screen candidates; check hiring practices against local employment law.
- Aggregate small groups so no individual can be identified.
Highlighted [brackets] are blanks to replace with your own details.
