Decide which meeting requests my executive should accept
A triage rule set for incoming meeting requests plus reply templates for accept, decline, delegate, and go-async.
The prompt
Help me build a triage system for meeting requests sent to my executive.
My executive's role and top priorities this quarter: [LIST 3-5]
Typical requests they receive: [e.g. "vendor demos, internal syncs, intro calls, mentoring, media"]
Current weekly meeting hours vs. target: [e.g. "32 hours, want 20"]
People who always get time: [NAMES OR ROLES]
Who can stand in for them: [deputies, chiefs of staff, team leads]
Create:
1. Decision rules: a short flowchart in text - who's asking, does it serve a current priority, does it need my executive specifically, could it be an email or a document instead, is there a deadline.
2. Outcomes: accept | accept shorter (15/25 min) | delegate to [name] | ask for an agenda first | send async | decline - with criteria for each.
3. Reply templates for each outcome, warm but brief, in my voice on my executive's behalf. The decline should leave the door open where appropriate without promising future time.
4. Weekly caps: how many slots to protect for each request type, and focus time to defend.
5. A monthly review: what to check to see whether the rules are working.
Keep the rules simple enough to apply in under a minute per request.
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
This prompt follows the Few-Shot structure (Few-shot prompting). A few-shot prompt includes one or more worked examples of the input and the output you want, so the model can copy the pattern instead of guessing it.
