Audit my marketing tech stack for overlap and gaps
An inventory of your marketing tools with overlaps, unused spend, integration gaps, and a consolidation plan.
The prompt
Help me audit my marketing technology stack.
Tools we pay for: [PASTE: tool, purpose, annual cost, contract renewal date, owner, number of active users]
Core workflows: [e.g. lead capture > scoring > CRM > sales; email; ads; analytics; content; social]
Pain points: [e.g. data doesn't sync, duplicate contacts, nobody uses X, manual reporting]
Team size and skills: [WHO operates the tools]
Budget pressure or goals: [e.g. "cut 20%", "add AI capabilities", "prepare to scale"]
Analyze:
1. Map each tool to the workflow stage it serves and draw out where two or more tools overlap.
2. Flag low-utilization tools (seats unused, features unused) and estimate spend at risk from my numbers.
3. Find gaps and broken handoffs: where data is re-entered manually, where tracking breaks, where there's no single source of truth for contacts.
4. Assess data and privacy basics: consent capture, where personal data is stored, who has admin access, offboarding of former staff and agencies.
Recommend:
- Keep / consolidate / cut / replace / add, with reasoning.
- A sequenced plan aligned to renewal dates, including migration risks (data export, broken automations, retraining).
- Questions to ask vendors before renewal.
Return a table: Tool | Purpose | Cost | Usage | Overlaps with | Recommendation | Timing. Use only costs I provide.
