Vet a new carrier for fraud and double brokering before tendering
A carrier onboarding check covering authority, insurance, safety, identity, and fraud red flags, with a clear approve or reject call.
The prompt
Help me vet a carrier before I give them a load.
My role: [freight broker / shipper / 3PL]
Carrier details provided: [COMPANY NAME, DOT AND MC NUMBERS (or local registration), PHONE, EMAIL DOMAIN, DISPATCHER NAME, ADDRESS]
What I found in public records: [authority status and age, registered address and phone, safety rating, out-of-service rates, insurance on file]
Certificate of insurance received: [ISSUER, LIMITS, CARGO COVERAGE, EXCLUSIONS, AGENT CONTACT]
The load: [COMMODITY, VALUE, LANE, EQUIPMENT]
Anything that felt off: [e.g. "email domain doesn't match", "wants quick pay to a new bank", "new authority"]
Check for:
1. Identity mismatch: contact details that differ from the registered record, free email domains, recently changed contact info, dispatch services posing as the carrier.
2. Double brokering signs: no owned equipment listed, trucks registered elsewhere, rate far below market, refusal to give driver and truck details.
3. Insurance gaps: cargo limits below load value, commodity or reefer exclusions, scheduled-auto-only policies, certificate not verified directly with the agent.
4. Safety: unsatisfactory rating, high out-of-service rates, very new authority.
5. Payment fraud: bank change requests, factoring company mismatch.
Return:
- A risk table: Check | Finding | Risk (low / medium / high) | What to verify next.
- A verdict: approve, approve with conditions (e.g. lower-value loads only, tracking required), or reject.
- A verification call script to confirm identity using contact details from the public record, not the ones provided.
- 5 rules to add to my carrier onboarding policy.
Do not state that a carrier is fraudulent; describe red flags factually. Mark anything you cannot confirm from my inputs as [VERIFY].
Highlighted [brackets] are blanks to replace with your own details.
