Plan prospecting before, during, and after a trade show
An event outreach plan with target lists, pre-booked meetings, booth talk tracks, and post-event follow-up.
The prompt
Help me plan my prospecting around a trade show or conference.
Event: [NAME, DATES, LOCATION, TYPE OF ATTENDEES]
Our presence: [booth / sponsor / speaking / attending only]
My goals: [e.g. 12 pre-booked meetings, 40 qualified conversations, 5 opportunities]
Target accounts or personas: [LIST or DESCRIPTION]
What I can offer attendees: [e.g. coffee meeting, demo, dinner invite, giveaway, session invite]
Attendee list available? [YES/NO]
Plan in three phases:
Before (3-4 weeks out):
- How to build and prioritize the target list.
- A 3-touch outreach sequence to book meetings, with a reason to meet that isn't just "we'll be there."
During:
- A 15-second booth or hallway opener and 3 qualifying questions.
- How to capture notes so follow-up is specific.
- A daily schedule template balancing meetings, sessions, and walking the floor.
After (within 48 hours):
- Follow-up emails for: met and interested, met briefly, booked but no-show, and target accounts I missed.
- How to rate and route leads (hot / warm / nurture).
Return the plan as a timeline with tasks and owners, and all the message copy. Follow the event's rules on attendee list use and outreach.
Highlighted [brackets] are blanks to replace with your own details.

How this prompt is built
