Plan a sustainable work pace through busy seasons and deadlines
Maps your year of peaks and quiet periods, with prep before each crunch, limits during it, and real recovery after.
The prompt
Help me plan a working pace I can sustain across the whole year, including busy periods, instead of lurching from one crunch to the next.
My role and recurring deadlines: [e.g. "month-end close by day 5", "quarterly board pack", "annual budget in October"]
Busy seasons and known peaks in the next 6-12 months: [DATES AND WHAT DRIVES EACH]
How the last peak went: [hours worked, weekends, what slipped, how long recovery took]
My pattern outside peaks: [typical hours, evenings or weekends worked, last real time off]
Commitments outside work: [e.g. caregiving, study, commute]
What I can influence: [e.g. "can shift internal deadlines", "can request temporary help", "client dates are fixed"]
Steps:
1. Map my year into peak, normal, and quiet periods with the expected load in each. Mark estimates.
2. Find work that can be pulled forward out of peaks (prep, templates, early inputs) or pushed until after them.
3. Set crunch limits: the longest stretch and the maximum weekly hours I'll accept, and the trigger for asking for help.
4. Build recovery in: lighter days or a lighter week after each peak, and when to take leave.
Return:
1. Year-at-a-glance: | Period | Expected load (light / normal / heavy) | What drives it | Prep beforehand | Recovery after |
2. Pre-peak checklist: what to prepare 2-4 weeks before each peak.
3. Crunch rules: what pauses during a peak, what support I ask for, my hours limit, and the end date.
4. Recovery plan: how I recover after each peak, plus planned time off.
5. Warning signs that my pace is slipping, and the reset I'll use.
6. Talking points (3-5) to agree peak support and recovery time with my manager.
If the workload doesn't fit sustainable hours even outside peaks, say so plainly and help me frame that conversation instead of planning a heroic schedule. If I describe constant exhaustion, dread, or health effects, suggest I talk to my manager, HR, an employee assistance program, or a doctor.

How this prompt is built
This prompt follows the Few-Shot structure (Few-shot prompting). A few-shot prompt includes one or more worked examples of the input and the output you want, so the model can copy the pattern instead of guessing it.
