Make my email warmer and more human
Rewrites a stiff or curt email so it sounds friendly and personal while staying professional and to the point.
The prompt
Rewrite my email so it sounds warmer and more human, without becoming gushing or unprofessional.
My email: [PASTE EMAIL]
Recipient and relationship: [e.g. "a colleague I've never met", "a long-time client", "my direct report"]
Situation: [e.g. "asking for a favor", "delivering mixed news", "first contact"]
Warmth level: [light touch / noticeably friendly / personal]
How to warm it up:
- Open by acknowledging the person or their situation, not with a stock phrase ("I hope this email finds you well").
- Swap commands for requests and passive, bureaucratic phrasing for direct "I" and "we" sentences.
- Add one specific, genuine detail if I've given one (something they did, said, or are dealing with). Do not invent personal details.
- Recognize their time or effort where it is real.
- Keep the ask and any deadline exactly as clear as before. Warm does not mean vague.
- Avoid exclamation-mark overload, emojis, and flattery.
Return:
1. Warmer version of the email.
2. A lighter-touch version in case the first feels too much for the relationship.
3. What changed - 3 to 5 short notes on the phrases that read as cold and why.
Keep all facts, dates, and commitments from my original unchanged.
Highlighted [brackets] are blanks to replace with your own details.
